Parent Service Program

Your service makes great things possible at St. Francis High School!

Parents provide valuable service to our school. Through the Parent Service Program, parents have the opportunity to meet each other and build community. Additionally, our school gains access to talents and abilities that we would otherwise have to fund.

Participation in the Parent Service Program, under the auspices of the Parents Guild,
requires a minimum of 25 hours of service from each family of freshmen through juniors and 15 hours for senior-only families. Participation is a condition of attendance in the school.

Learn more about the Parent Service Program here: Parent Service Program FAQs

Parents keep track of their own hours on the Parent Service Report Form , requesting the signatures of the event chairpersons or attaching receipts for purchased items.

Diocesan Requirements for Volunteers

All parents who serve as volunteers at St. Francis High School are required to comply with the following Diocesan Requirements.

1. Fingerprinting Clearance on file with the Diocese and reported to SFHS

Because of California state law and to ensure the safety of our students, St. Francis upholds the diocesan policy that no adult may participate as a volunteer on campus or working directly with students unless the adult has Live Scan fingerprint clearance through the California District Attorney’s Office on file with the Diocese.

Find locations that provide Live Scan service and print out a Request for Live Scan Service form.

If you have already submitted fingerprint clearance to another school in the Sacramento Diocese, you must transfer the clearance to St. Francis by completing the Request for Fingerprinting and/or Shield the Vulnerable Records Form and submitting it to the St. Francis office.

More information about the Fingerprinting Requirement

2. Completion of an online training program entitled "Shield the Vulnerable"

The course takes 1 to 1.5 hours and you can pause and return anytime to the same place and finish the course. After completion, submit the certificate of completion to the SFHS office. Instructions and a link to the course

If you have already submitted Shield the Vulnerable completion to another school in the Sacramento Diocese (within the past 4 years), you must transfer the clearance to St. Francis by completing the Request for Fingerprinting and/or Shield the Vulnerable Records Form and submitting it to the St. Francis office.

3. Submission of signed School Volunteer Agreement

4. Submission of signed Confidentiality and Information Management Policy and Procedures statement

5. Submission of the Parent Volunteer Driver Information Sheet and a copy of your driver’s license*

*This is required for any parent who will be driving students other than/in addition to their own child to school-related activities.

See Requirements for Volunteer Drivers

Volunteer Drivers

Due to liability concerns, hours may not be earned by driving students to activities; however, this does not eliminate the need for all drivers to comply with the requirements of the SFHS Transportation Policy. Click the link below for additional details.

Find a Volunteer Opportunity

Parent Service Opportunities are listed in each newsletter and are frequently sent by email to those parents for whom the school has an email address. In addition, many of the service opportunities are posted online.

Volunteer Opportunities...

All parents are encouraged to submit a Parent Service Interest Form. Your contact information will be supplied to committee chairpersons and school personnel based on the interests and talents you indicate.

Report Your Hours

Service Hour Due Dates:

  • Senior parent report forms are due January 15.
  • For all other families, due date is May 1st.

If service is not completed, parents pay a higher, non-participation rate of tuition.
The additional tuition is currently $300 per year for non-participating families. Diocesan regulations mandate that this amount cannot be prorated for partial hours completed; therefore, all 25 (or 15) hours must be performed and reported to avoid paying the non-participation fee.

Parent Service Hour Report Form:

  • The reporting form is available in the main office, or you can download here.
  • You may begin earning service hours for the next school year as of May 1st.
  • Please report the many hours you may serve above the required minimum so we can recognize our top volunteers!
  • “Extra” parent service hours are not carried over to the following year.

Reporting Guidelines:

Active Service: Many service activities earn the number of hours served. A minimum of 9
hours (5 hours for senior parents) must be earned through Active Service.
Here are just a few examples:

  • Chaperone activities: dances, SFHS team trips, clubs, retreats, etc.
  • Sporting events: officiate, keep score, stats, time, etc.
  • SFHS parent group events and fundraisers, School Board committees: attending committee meetings, making decorations, helping in kitchen, cashiering, set-up and clean-up, etc.
  • Clean-up (for any event/activity) = Double the hours served
One of the less popular tasks, we offer double hours to broaden its appeal.
Please Note: New in 2009-10, due to liability concerns, hours may not be earned by driving students to activities.

Supplies: When the following items are requested through the Parent Service Program, parents may claim the hours indicated. A maximum of 16 hours (10 for senior parents) may be earned by providing supplies.

Homemade Items:

  • Brownies - 9” x 13” batch 2 hours
  • Cookies - 3 dozen 2 hours
  • Desserts - to serve approx. 12 people 2 hours
  • Hors d’oeuvres - to serve approx. 12 people 2 hours

Purchased items (only supplies requested through the Parent Service Program)

  • Variety of items: 1 hour for each $5 spent; staple your receipt to your parent service form in lieu of a signature:
Cookies, desserts, beverages, bottled waters, chips, pretzels, popcorn, ice cream, plates, utensils, paper or plastic cups, napkins, etc.

Frequently Asked Questions
What is the Parent Service Program?
  • Parents perform a prescribed number of hours of service each year.
  • Parents of students in grades 9-11 perform 25 hours of service per year.
  • Senior-only parents perform 15 hours.
What types of service may I perform?
  • You may participate in services that benefit the school, its students (for school-related activities), or are in support of an activity or event sponsored by one of the school auxiliary groups (Parents Guild, Booster Club, Patrons of the Arts, etc.). New in 2009-10: Due to liability concerns, hours may not be earned by driving students to activities. If you are uncertain about a particular service, verify with the Director of Special Events.
  • You may provide supplies that benefit school events (bottled waters, desserts, etc.) that are specifically requested through the Parent Service Program. Since time and effort are involved in procuring and delivering these needed items, service hours are given (1 hour per $5 spent). A maximum of 16 hours (10 for senior parents) may be earned by providing supplies.
Important to Note: The following donations do not earn service hours:

Donations of cash or items to the school or to school events that are not specifically requested through the Parent Service Program do not earn service hours.

Donations to the Stewardship Program, “Revelry,” Crab Feed, Father-Daughter Dance, Fashion Show, Golf Tournament, and in-kind donations of school supplies or equipment do not earn service hours.

How do I find out about service opportunities?
  • Join our email distribution list - this is the best way to keep current!
To get on the e-mail list, contact Ingrid Niles.
  • View Volunteer Opportunities on the website.
  • Read announcements in the school newsletters.
  • Submit a Parent Service Program Interest form, so we can create lists of interested parents to provide to event chairpersons. When volunteers are needed the chairpersons are encouraged to call the names on their lists. If you are counting on participating in an event, we suggest that you not wait to receive a call, but rather contact the chairperson well in advance of the event to offer your services!
  • There are service opportunities that may not be specifically listed that count for service hours. For example: chaperoning tournaments, working snack bars for SF athletic events, sewing costumes or building sets for theatrical performances, judging speech and debate tournaments, career day presentations, attending board and committee meetings.

Choose opportunities that fit into your schedule and your areas of expertise or interest.

Who may perform the service hours?

According to diocesan regulations, only parents or guardians may serve the hours for your family.

Who keeps track of service hours?

Parents keep track of their own hours on the Parent Service Report Form, requesting the signatures of the event chairpersons.

What is the procedure and timeline for reporting hours?
  • When your required hours are completed, return the Parent Service Report Form to the school. (Please keep a copy for yourself.) Send it in only when the total is 25 or more hours (15 hours for parents of seniors without younger sisters at SF).
  • Senior families: The deadline for reporting parent service hours is January 15th.
Non-participating families will be charged $300.
  • All other classes: The deadline for reporting parent service hours is May 1st.
Non-participating families will be charged $300.
